| OCR Text | Show UHSLC Meeting - Minutes Date: Monday, January 26, 2009 Time: 1:00 - 3:00 p.m. Host: VA Medical Center, Kirk Davis Attending: In person: John Bramble, Helen Chang, Kirk Davis, Emily Eresuma, Erica Lake, Jeanne Le Ber, Cynthia Melenson, Camille Salmond, Jean Shipman, Alice Weber Remotely: Burt Barnard, Alan Groesbeck, Sally Patrick, Marilyn Schwartz, Andrew Youngkin 1. Minutes from December 2009 meeting - John Bramble There were no minutes taken during the December meeting, so there was nothing to report and no actions to take. 2. Treasurer's report - Camille Salmond A. Expense report for 2008 See attached report for details. B. Charitable giving for 2008 The consortium had a very successful Christmas donation. $640 was donated to the Road Home - $340 was donated by UHSLC individuals, and $300 was donated by UHSLC (the consortium had agreed to match money up to $300). In addition, many clothing and household items were donated. The Road Home sent a very nice thank-you letter - contact Camille if you would like to read it. C. Review of membership and dues Camille emailed invoices to members on January 23rd. Please contact her if you did not receive yours. There is no due date stated on the invoice, but Camille encouraged all to pay dues by February 28th. 3. Selection of 2009-2010 Officers and Appointed Positions - John Bramble The following members were selected and voted into office: Chair: Alice Weber Chair-elect: Andrew Youngkin Secretary: Intermountain Healthcare librarians (shared position) Treasure: Camille Salmond Wikimaster (formerly Webmaster): Cynthia Melenson and Helen Chang (shared position) Listserv Manager: Joan Gregory Union List Coordinator: Dropped position - consortium decided this position was no longer needed, since we have not generated a print copy of the Union List for several years. 4. Goals and Objectives - Alice Weber A. Review of previous goals and objectives from 2008 See Appendix A at end of minutes. The group decided to replace the goal to "Support library school student internships" with an advocacy goal. Marilyn Schwartz volunteered to continue to work on library school student internships informally. The group also decided to drop "Make training and assistance available to UHSLC members on how to keep their Serhold records current and accurate" as a goal. Assistance exists through the RML - monthly classes are available; refer members to the RML website. B. Suggest adding to bylaws that all UHSLC Goals and Objectives MUST have a coordinator After discussion, consortium decided not to add this to the bylaws. Goals and Objectives are not discussed in the bylaws. It was decided that this could be outlined in the soon-to-be-created UHSLC Policy and Procedures Manual. C. Goals and Objectives 2009-2010 and coordinators Recommendation made that these goals be prioritized. 1. Present a poster or a paper (preferably research) at MCMLA 2009 conference. Coordinators: Jeanne Le Ber and Erica Lake. 2. Continue to maintain and add material to the UHSLC Digital Collection. Coordinators: Jeanne Le Ber will oversee Krista Rockne (staff at Eccles Health Sciences Library). Alice Weber proposed that eventually the wikimaster becomes responsible for overseeing this collection. 3. Sponsor professional development opportunities. Coordinator: Cynthia Melenson. Proposed that these sessions fall on alternate months to the UHSLC meetings. Jeanne Le Bar reminded group that Eccles hosts many, varied, professional development opportunities, and that all UHSLC members are welcomed to participate. 4. Increase UHSLC membership and participation at meetings. Coordinator: Alice Weber. Discussion about investing in Skype Out, which would allow for easy and inexpensive local, national and international landlines and cell phone calling, directly from Skype. Alan Groesbeck reminded group that Intermountain Healthcare's video conferencing system is also an option for remote participation for certain members. 5. Write an Annual Report for 2009. Coordinator: Chair. 6. Advocacy for UHSLC librarians. Coordinators: John Bramble, Erica Lake, Marilyn Schwartz. 7. Have all UHSLC libraries establish Link Out for their holdings. Coordinator: John Bramble. 5. Wiki presentation - Helen Chang and Cynthia Melenson Test site has been created: http://testuhslc.wetpaint.com/ Need to register wiki as an education site - this will make allow the site to be free of advertising. John Bramble agreed to set up ".edu" address. Wiki will go live once it has ".edu" address. Cynthia will send an email to invite all members to read and contribute to the wiki. There was a discussion as to whether or not all members should have rights to edit and add content - it was decided that they should. Still some kinks to work out. John Bramble proposed the creation of an instruction manual. Many thanks were given to Helen and Cynthia for the hours they devoted to getting the wiki up and running. 6. RML update - John Bramble John distributed a handout of upcoming opportunities - see attachment. 7. Remaining meetings for 2009 - Alice Weber Dates were set. Still need to confirm who will host each meeting. March 23 - Primary Children's Medical Center June 1 August 14 October 26 December 7 - Holiday party at Eccles Library Thanks to Kirk for hosting! Appendix A UHSLC Goals and Objectives 2007-2008 & 2008-2009 UHSLC Goals and Objectives 2007-2008 Goals and Objectives for 2007- 2008 a. UHSLC Digitization project: To collect and digitize UHSLC materials, give them some historical context, and make the collection available on the Web. b. Reference Continuity Service Member libraries assume reference services for each other during times of closure or disruption of service c. Serhold Compliance and Training Our goal is to have 100% compliance d. Professional Development e. Poster for MCMLA: The abstract deadline has been extended. This year that plan is to focus on the UHSLC Digitization Project f. Career fair campaign for health sciences librarians Goals and Objectives for 2008-2009 a. Present a poster at MCMLA in Cody. This needs to be fleshed out and assigned a member coordinate it or it should be removed as a goal. b. Finish the UHSLC Digital Collection work that was begun this past year. c. Put into place a plan or process with responsible UHSLC member to see this project continue on into the future. d. Support library school student internships: i. Develop a letter for distribution to Library Schools with distance programs to invite library school students to intern at UHSLC libraries. This letter would include examples of projects that could be offered by consortium members to students. (This needs a member to coordinate or it should be removed as a goal) ii. Work with Marilyn Schwartz to identify and exhibit at career fairs to foster health sciences librarianship as a profession. This project needs a member to volunteer to help coordinate with Marilyn. (BACKGROUND: Adrienne Juarez at Emporia is willing to work with us on this; we might ask Emporia to cover the exhibit fee with the understanding that we will be promoting other ALA accredited schools that offer distance education programs available to residents of Utah) e. Make training and assistance available to UHSLC members on how to keep their Serhold records current and accurate. (John and Camille will add training resources to the UHSLC website. f. Sponsor professional development opportunities: i. Copyright with Rita Reusch (August 18 at IMC) ii. March 12, 2008 - measuring your impact; an all day workshop iii. June 2, 2008 - Claire Hamasu (Tentatively) presenting an overview of Survey Monkey (BACKGROUND: MLA Hospital Library section has a subscription to Survey Monkey) iv. Other ideas? g. Increase UHSLC membership and participation at meetings. This needs to be fleshed out and assigned a member coordinate it or it should be removed as a goal. h. Write an Annual Report for 2008.
